Data Policy

The Data Policy describes the processes through which Rudescore ("the Bot") processes, stores, handles, and protects information when working in Discord servers. The purpose of such a policy is to have a guideline for information processing, access, and compliance with relevant laws and legislation. Users, in using the Bot, agree and consent to information processing processes mentioned in this document.

The Bot processes and holds only relevant information for its effective performance. Information processing adheres to the following guiding factors:

1. Minimization: Information collected is only relevant for effective Bot performance.
2. Control Over Retention: Information is kept for a period considered useful.
3. Security Practices: Information access is restricted, and in cases relevant, information is under encryption.
4. Compliance: Information processing adheres to best practice and applicable laws.

The Bot separates information into the following categories:

1. Operational Information:
   • Information in this category consists of server IDs,username, and logs of commands relevant for Bot operations.
   • Information access for such categories is restricted to developers for debugging.
2. Temporary Logs:
   • Logs for tracking errors and performance improvement.
   • Logs are removed when a specific duration is reached.
3. Public Information:
   • Information in this group consists of art-created images posted in the support server when specific commands have been executed.

Access Control Rules:

• Exclusive access to operational information is granted toapproved team members.
• Public access is restricted to special commands and shared environments.
• Any unauthorized individual is not allowed to collect, store, or access any individual's information.

The Bot runs under strong controls regarding information storage duration:

1. Logs for commands are stored for a specific period to preserve operational
2. Required information is removed in a systemic manner.
3. User deletion at request is performed instantly.

User Rights:

• Users have a right to request the deletion of informationthrough the Support Server.

The Bot does not sell information about a user; however, for operational requirements, it works with a third party:

1. Third-Party APIs:
   • Certain commands require the use of external APIs (e.g., processing an image and artificial intelligence-related capabilities).
   • Only the minimum information is shared with such APIs.
2. Compliance with Laws:
   • In case of law enforcement and regulatory agenciesrequirements, information can be disclosed according to applicable laws, determined by the Bot owner.

To maintain information integrity and security, the Bot conforms to the following provisions:

1. Data Encryption:Where applicable, sensitive information-containing interactions are guarded with a specific encryption mechanism.
2. Restricted Information:Logs and stored information regarding bot access is accessible only to approved developers.
3. Regular Security Check-UpsFrequent security audits are performed for compliance with security best practices.

The following apply to Users:

1. Request Information About Collected Data:
   • Users have a right to request information about collected information in relation to User-Bot Interaction.
2. Request Information Deletion:
   • Users can request deletion of stored logs in case no information about them is desired to be stored.
3. Report Information Security Concerns:
   • Users can contact support in case of any information security and/or information-related concerns.

The Bot owner can make a change in this Information Policy at any point in time. Updates will be posted via the support server. Continuing use of the Bot will mean acceptance of the most current forms of this policy.

The new Data Policy comes into force on February 6, 2025, and supersedes all preceding ones.
